Tokens are placeholders that get replaced with real event or attendee information when an email sends. They help you write one notification template that still includes useful details for the attendee.
For example, a token might insert the event title, event date, attendee name, or a custom event field like parking instructions.
Where Tokens Are Used #
Tokens are used in event notification subjects and message bodies.
Event Field Tokens #
Custom Event Fields can create their own tokens. This is helpful for details that change from event to event, such as room number, Zoom link, parking instructions, or check-in location.
How to Use Tokens #
- Create or review any Event Fields you want to use as tokens.
- Open the event.
- Fill in the event field values for that event.
- Open the Notifications section.
- Add the token to the subject or message body.
- Save the event.
Best Practices #
- Copy tokens exactly as shown.
- Use tokens for details that change between events.
- Do not overuse tokens when plain text is clearer.
- Test a notification if the message is important.
Troubleshooting #
- A token shows as raw text: Check the token spelling.
- A token is blank: Make sure the event field has a value for this event.
- The wrong information appears: Review the event field value and notification template.
